📦 DARKSIDE STUDIOS LLC – RETURNS & REFUND POLICY

At Darkside Studios LLC, we want you to love your purchase. Because most products are printed on-demand, our return policies are a little tighter than big box stores — but they are designed to be fair, clear, and predictable.

This Returns & Refund Policy works together with our Terms & Conditions, Terms of Service, and Privacy Policy. By placing an order, you agree to all of these.


✅ 1. ELIGIBILITY FOR RETURNS

  • Returns are accepted within 90 days of receiving your order, unless otherwise stated on the specific product listing.
  • Items must be unused, uncut, uninstalled, and in their original condition with all packaging, backing liners, and accessories intact.
  • All returned items are inspected upon arrival. Items that show signs of installation, trimming, stretching, creasing, or contamination (dust, grease, chemicals, etc.) are not eligible for refund.
  • Custom orders, custom layouts, one-off designs, and reprints are generally non-returnable except in cases of confirmed manufacturing defect or order error on our part.

📩 2. HOW TO START A RETURN

  • Pre-Provided Return Labels: In rare cases, Darkside Studios LLC may include a courtesy return shipping label inside your original shipment. If a label was provided, you may use it to initiate your return immediately without prior approval. We kindly request that you email us to notify us that the return is in transit. It is imperative to retain your proof of package drop off receipt as proof of return drop off - in the event the package is lost or failed to receive at least one confirmation scan.
  • Standard Returns: For all other returns, prior approval is required. Please email darksidestudioarts@gmail.com to request a Return Merchandise Authorization (RMA).
  • Include your order number, the item(s) you wish to return, and a brief explanation of the reason.
  • We may request photos of the product and packaging to help us evaluate eligibility before issuing an RMA.
  • Once approved, you will receive RMA instructions including the return address and any specific packaging requirements.
  • Returns sent without prior RMA approval (and without a pre-provided Darkside Studios label) may be refused or delayed in processing.

🚚 3. SHIPPING YOUR RETURN

  • All return shipments must be securely packaged to prevent damage in transit. Use a rigid mailer, tube, or box as appropriate.
  • Return shipping costs are the responsibility of the buyer, unless we expressly state otherwise in writing or a return label was provided in your original shipment.
  • Proof of Drop-Off & Transit: You must obtain a physical drop-off receipt from the carrier or ensure the package receives an active origin scan. To be accepted for carrier claims and refund processing, a valid drop-off receipt must be an official, printed document generated by the carrier or authorized drop-off location. It must clearly display the business name, address, date and time of the drop-off, and your specific tracking number. Handwritten notes or unofficial receipts are strictly not accepted. We will not acknowledge returns, assume liability, or process refunds for "dropped off" packages that lack an active carrier scan or a valid, printed drop-off receipt.
  • Shipping insurance is strongly recommended for self-shipped and customer generated shipping labels. We are not liable for returns that are lost, delayed, or damaged while in transit back to us.
  • Keep your tracking number and carrier receipt until your refund has been fully processed.

💰 4. RESTOCKING FEES & ORIGINAL SHIPPING

  • A 25% restocking fee applies to all eligible, approved returns that are not due to an error on our part.
  • If your original order included free shipping, the actual shipping cost incurred by Darkside Studios LLC will be deducted from your refund, in addition to any restocking fee.
  • Original shipping charges (including upgraded or expedited shipping) are non-refundable unless the return is due to our error.

🏦 5. REFUND PROCESSING

  • Refunds are generally issued only after the returned items are physically received and inspected at our facility. An active tracking scan or valid drop-off receipt serves as proof of transit, but does not trigger a refund prior to our inspection.
  • Lost Packages: In the event a return package is lost by the carrier in transit, a refund or claim will ONLY be processed if there is an active carrier tracking history OR a valid, official printed drop-off receipt (as defined in Section 3) proving physical possession by the carrier.
  • If the return is approved, we will process a refund to your original payment method within approximately 5–7 business days.
  • Your bank or card issuer may require additional time to post the credit. Darkside Studios LLC is not responsible for delays caused by financial institutions.
  • If a return is denied due to ineligibility (installed, damaged, incomplete, or outside policy), we may offer to ship the items back to you at your expense.

🧾 6. DAMAGED, DEFECTIVE, OR INCORRECT ITEMS

  • Please inspect your order upon delivery. If an item arrives damaged, defective, or incorrect, you must notify us within 48 hours of delivery.
  • Email darksidestudioarts@gmail.com with:
    • Your order number
    • Clear photos of the product, packaging, and shipping label
    • A brief explanation of the issue
  • We may request additional photos or details to properly evaluate the claim.
  • If the issue is confirmed to be a manufacturing defect or an error on our part, we will, at our discretion, either reprint/replace the item or issue a refund.
  • Do not install or modify a defective or incorrect item; doing so may void eligibility for replacement or refund.

🚫 7. NON-RETURNABLE ITEMS

  • Custom designs, one-off layouts, personalized graphics, and special-order products that are produced specifically for you.
  • Any item that has been installed, trimmed, cut, test-fitted and stretched, or otherwise altered from its original condition.
  • Items returned without prior RMA approval.
  • Items that are damaged due to improper storage, handling, or installation.

🌍 8. INTERNATIONAL ORDERS

  • For international customers, all import duties, taxes, customs fees, and return shipping costs are the responsibility of the buyer.
  • Refused or unclaimed international packages due to unpaid duties, taxes, or fees may be returned to us by the carrier or abandoned. In such cases:
    • Original shipping costs are non-refundable.
    • Additional carrier fees, return shipping charges, or penalties may be deducted from any potential refund.
    • If a package is abandoned or destroyed by customs, no refund will be issued.

📜 9. RELATIONSHIP TO TERMS & CONDITIONS

  • This Returns & Refund Policy is part of and works together with our full Terms & Conditions.
  • In the event of any conflict between this policy and the Terms & Conditions, the Terms & Conditions control for order, product, and warranty interpretation.
  • Nothing in this policy limits the rights, limitations of liability, or disclaimers set out in our Terms & Conditions.
